Privacy Policy
Based on the JSSD Amended Constitution and Amended By-Laws adopted in 2024

1. Who We Are
The Jain Society of San Diego (“JSSD,” “we,” “us,” or “our”) is a California nonprofit religious organization organized to preserve and promote Jain religion, provide a place of worship, fellowship and social gatherings, foster spiritual progress, unity, harmony, and friendly relationships among Jains and other religious groups. JSSD is a 501(c)(3) organization.
JSSD Hub is a community technology platform used to support JSSD membership administration, events, religious and cultural programs, Labhs, donations, Pathshala, volunteer activities, communications, and other authorized JSSD operations.
2. Relationship to JSSD's Constitution and By-Laws
JSSD Hub is a technology service supporting JSSD. It does not replace or modify JSSD's governing documents.
JSSD membership, voting eligibility, elections, governance, and organizational authority are governed by the JSSD Constitution and By-Laws, as amended from time to time.
A JSSD Hub account is not the same as JSSD membership. Creation, suspension, deletion, or modification of a Hub account does not by itself create, terminate, suspend, or modify JSSD membership or voting rights.
JSSD Hub records are administrative records and do not independently determine membership, voting eligibility, election eligibility, or other rights under the Constitution or By-Laws.
This Privacy Policy does not amend, supersede, or override the JSSD Constitution or By-Laws. If an interpretation issue arises, the Privacy Policy will be applied consistently with those governing documents.
3. Scope
This Privacy Policy describes how JSSD collects, uses, shares, protects, and retains personal information through JSSD Hub, including the member-facing mobile application and authorized administrative systems.
4. Information We Collect
4.1 Account, Household and Membership Information
JSSD Hub accounts are organized by household. A household may include a Primary Family Member, a Secondary Family Member, and children. For adult members with accounts, JSSD may collect name, email address, phone number, mailing address, and authentication information. Household relationships and membership type/status may also be maintained.
4.2 Children and Pathshala Information
For children, JSSD may collect name, age/grade level, and Pathshala class/session information when provided by a parent or guardian. Children do not independently create Hub accounts or log in to the Service.
Children's information will not be displayed in a general JSSD member directory and will be accessible only to personnel whose JSSD responsibilities require it, such as authorized Pathshala coordinators, teachers, designated volunteers, or EC personnel as reasonably necessary.
4.3 Events and Volunteer Information
JSSD may collect event RSVPs, food counts/preferences, volunteer sign-ups, and information necessary to administer JSSD programs.
4.4 Labh Information
JSSD may collect Labh participation, dedication information, bids, and bid amounts where applicable. Final dedication information may be used for legitimate JSSD event or religious purposes. Private or unsuccessful bid information will be treated as restricted information and will not be disclosed to the general membership unless authorized or required.
4.5 Donation and Financial Information
JSSD may collect donation, pledge, membership-fee, and Labh payment status information necessary to administer JSSD's financial and organizational records. JSSD Hub does not currently process card or bank payments within the application.
Donation amounts and other financial information are restricted information and are not automatically displayed in a general member directory.
4.6 Technical Information
JSSD may collect device identifiers, operating system/version, application version, push notification tokens, crash information, logs, and basic usage data needed to operate, secure, troubleshoot, and improve the Service.
5. How We Use Information
Create and manage Hub accounts and household records.
Administer JSSD membership and related administrative records.
Operate events, RSVPs, volunteer activities, Labhs, and religious/cultural programs.
Administer Pathshala and related child, class, food, and volunteer scheduling information.
Maintain donation, pledge, membership-fee, and accounting records.
Send JSSD communications, reminders, event notices, and other authorized notifications.
Support elections or General Body voting if JSSD Hub is used for those purposes, in accordance with the Constitution and By-Laws.
Maintain security, troubleshoot technical issues, and improve the Service.
Comply with applicable law and respond to lawful requests.
JSSD does not sell personal information and does not use member personal information for third-party advertising or commercial solicitation.
6. Access and Role-Based Use
Access to personal information will be limited according to the JSSD responsibilities of the person or team receiving access. Access should be no broader than reasonably necessary for the person's assigned duties.
General Members: their own household information and information intentionally made available to the General Body.
Program Volunteers: information reasonably necessary for the specific program or event they support.
Program Coordinators/Teachers: information reasonably necessary for their assigned program, including Pathshala information where applicable.
EC and Office Bearers: information reasonably necessary to carry out EC responsibilities.
Treasurer/Financial Administrators: financial information necessary to perform JSSD financial responsibilities.
Secretary/Election Administrators: membership, communication, meeting, election, and voting information necessary for assigned responsibilities.
BoD: information reasonably necessary to carry out its fiduciary, long-term project, safety, financial, or governance responsibilities.
No volunteer, administrator, EC member, BoD member, or other person should access personal information merely because technical access is available.
7. Member-to-Member Communication
JSSD's By-Laws provide that General Body members have direct access to communicate with EC/BoD and with other General Body members. JSSD Hub may support such legitimate JSSD communications.
JSSD may make limited member information available for legitimate JSSD community, governance, religious, cultural, educational, or organizational communication purposes, subject to applicable law and JSSD policies.
JSSD will not publish children's information, donation amounts, private Labh bids, or other sensitive information merely to facilitate member-to-member communication. Where practical, members may be given controls over whether selected contact information is visible in a member directory.
8. Information Sharing and Disclosure
8.1 Service Providers
JSSD may use service providers such as database/authentication, hosting, application delivery, and push-notification providers. These providers process information to support JSSD operations and should be restricted by contract or technical controls from using JSSD member information for their own independent purposes.
8.2 Within JSSD
JSSD may share information with authorized EC, BoD, Program Team members, volunteers, teachers, or other personnel only when reasonably necessary to perform JSSD responsibilities.
8.3 Legal and Safety Requirements
JSSD may disclose information when required by law, subpoena, court order, or when reasonably necessary to protect the rights, safety, or property of JSSD, its members, attendees, or others.
8.4 Organizational or Technology Transition
JSSD may migrate personal information to another technology platform or service provider when reasonably necessary to continue JSSD operations, subject to this Policy and JSSD's governing documents. JSSD will not transfer member information to an unrelated organization for independent marketing or commercial purposes without appropriate notice and, where required, consent.
8.5 Consent
JSSD may share information for other purposes with the individual's explicit consent where appropriate.
9. Photos, Videos and Event Media
JSSD may photograph, record, or otherwise capture images or video at JSSD events and activities for legitimate organizational purposes, including newsletters, websites, JSSD Hub, social media, educational materials, event documentation, and community communications.
JSSD will use reasonable care regarding images of children and will avoid publishing unnecessary identifying information with children's images. Parents or guardians may contact JSSD regarding a specific child's image or request regarding future use.
JSSD should provide event-specific notice where appropriate, particularly for events primarily involving children.
10. Data Retention
Membership and household records: retained as reasonably necessary to administer current and historical JSSD membership.
Financial, donation, pledge, and tax-related records: retained as reasonably necessary for accounting, tax, audit, legal, and organizational recordkeeping.
Pathshala records: retained as reasonably necessary for program administration, safety, historical program records, and legal requirements.
Technical logs and diagnostics: retained only for a reasonable period needed for security, troubleshooting, and service improvement.
Former-member information: retained only where reasonably necessary for legitimate organizational, historical, financial, tax, legal, or other documented purposes.
Deletion of a Hub account does not require JSSD to delete records that JSSD is required or reasonably entitled to retain for legitimate organizational, financial, tax, legal, election, safety, or historical purposes.
11. Security
JSSD uses reasonable administrative and technical safeguards appropriate to the nature of the information, including encrypted connections, access controls, authentication controls, and role-based administrative access. No system can be guaranteed to be completely secure.
JSSD should periodically review administrative access, remove access that is no longer required, and review service-provider security and data-access arrangements.
12. Elections and General Body Voting
If JSSD Hub is used for elections or General Body voting, election and voting information will be handled in accordance with the JSSD Constitution and By-Laws. Voting records will be protected and retained as reasonably necessary to administer, verify, document, and audit the voting process.
The Hub will not independently determine who is entitled to vote. Voting eligibility is governed by the JSSD Constitution and By-Laws.
13. Your Rights and Choices
You may request access to, correction of, or deletion of personal information associated with your Hub account, subject to JSSD's legitimate recordkeeping, legal, tax, financial, election, safety, and organizational obligations.
Requests may be submitted to the JSSD privacy contact designated by the EC. JSSD may need to verify the identity of the requester before providing or changing personal information.
Push notification permissions may be managed through device settings.
14. Children's Privacy
JSSD Hub is designed so that children do not independently create accounts or log in. Children's information is provided by an adult household member for membership and Pathshala administration.
JSSD will not knowingly use children's information for advertising or commercial purposes. Access to children's information will be limited to persons who need it for legitimate JSSD responsibilities.
A parent or guardian who has questions or concerns about a child's information may contact JSSD.
15. Third-Party Links
JSSD Hub or JSSD event pages may contain links to third-party services, such as video or event platforms. Those services operate independently and may have their own privacy practices. JSSD is not responsible for the privacy practices of third parties.
16. Changes to This Privacy Policy
JSSD may update this Privacy Policy to reflect changes in technology, operations, legal requirements, or JSSD Hub practices.
For material changes, JSSD will provide notice through JSSD Hub, email, the JSSD website, newsletter, or another appropriate JSSD communication channel. The updated policy will identify its effective date.
This Privacy Policy does not amend or supersede the JSSD Constitution or By-Laws. Any material change that would require an amendment to JSSD's governing documents must be handled through the amendment process required by those documents.
Continued use of JSSD Hub will not be interpreted as an amendment to JSSD's Constitution or By-Laws.
17. Privacy Contact
Questions, concerns, access/correction/deletion requests, or other privacy inquiries may be directed to the JSSD privacy contact designated by the EC. JSSD may use president@jssd.org or another official JSSD contact address for this purpose.

18. Governance Reference
This Privacy Policy was prepared to be consistent with the JSSD Amended Constitution and Amended By-Laws adopted in 2024 and effective January 1, 2025. The governing documents establish, among other things, the roles of the EC, BoD, Secretary, Treasurer, Public Relations Manager, Program Teams, General Body, and membership/voting structure.
The Constitution states that JSSD is a California nonprofit corporation with 501(c)(3) tax-exempt status and establishes the EC as responsible for day-to-day operations. The By-Laws further define EC, BoD, Program Team, Secretary, Treasurer, and communication responsibilities.
